Roles


There are five roles in Brocard. Each role has its own set of permissions and limits. A company always has exactly one Owner; the other roles can be assigned to multiple users.


Company Owner

Full access to everything: teams, members, top-ups, transfers, cards, payments, refunds, API. Sees data across all teams and members. There can be only one Owner per company.


Admin

Same permissions as the Owner, except cannot change the Owner. A good fit for someone who co-administers the company alongside the Owner.


Team Leader

Manages their own team. Sees and edits team members, their cards, payments, refunds, transfers, and top-ups. Can invite new members to their team (Buyers and Farmers). Does not see data from other teams in the company.


Farmer

The Team Leader's assistant inside the team. Sees cards, payments, and refunds of the entire team and can manage other members' cards within the team: block, activate, pause, change limits, transfer to another member, view card credentials. Sees the team's overall payments and refunds, but balance operations — only their own. Can create API keys. Cannot manage members and has no access to other teams in the company.


Buyer

Works only with their own cards. Sees and manages their own cards; sees their own payments, refunds, and balance transfers. Cannot create transfers or top-ups and does not see other members' data.

How to pick a role for a new member


  • The person runs an entire team and owns the budget → Team Leader.
  • The person helps the Team Leader: looks after team cards, blocks/activates them, changes limits, but should not see other members' balances → Farmer.
  • The person works only with their own cards and their own balance → Buyer.


How to invite a member


Go to "Members""Add member". Enter the email, the role, and the card limits. The system sends an invitation to that email; until the new member completes registration, they stay in the "Pending" state.


To complete registration, the new member follows the link in the email, sets a password, and enables two-factor authentication.


If the invitation is sent by a Team Leader, the new member is automatically added to that Team Leader's team. A Team Leader can invite users with the Buyer or Farmer role.


How to create teams


Go to "Teams""Create team" and enter the team name.


How to move a member to another team


Only the Company Owner or an Admin can move members between teams. Open "Members", choose "Edit member" in the member's menu, change the team, and save.


All of the member's stats — cards, payments, and refunds — are moved to the new team together with the member.


How to block and unblock a member


In "Members", choose "Block" or "Unblock" in the member's menu. Blocking a member automatically blocks all of their cards.


Members blocked by the system cannot be unblocked manually.


How to view team statistics


The Owner and Admin can view card, payment, and refund statistics broken down by team. Go to "Teams" and pick the relevant item from the team's menu. The same data is also available via the team filter inside each section.


A Team Leader and a Farmer see the same statistics scoped to their own team.


Transfers between members


To transfer funds between members, go to "Transfers""Create transfer" and specify the sender, recipient, and amount in the modal.


Transfers can be made within your own team as well as to another team in the company.
